Email Deliverability: Stay Out of Spam
Email deliverability decides whether your campaigns hit the inbox or spam. Learn the authentication, list, and content moves that keep you out of the junk folder.

Your email is only as good as the inbox it lands in. If it hits spam, the copy does not matter.

Deliverability is the quiet layer under every email campaign. Most senders obsess over subject lines and ignore the technical signals that decide whether their message even gets seen. Mailbox providers like Gmail and Outlook run every message through filters before a human ever reads it. Fail those checks and your open rate drops to zero, no matter how good the offer.

This guide covers the practical moves that keep you in the inbox. No theory. Just what to set up and what to avoid.

Authenticate your domain first

Authentication proves you are who you say you are. Without it, providers treat your mail as suspicious by default. There are three records you need in your DNS.

  • SPF lists the servers allowed to send mail for your domain. It stops others from forging your address.
  • DKIM signs each message with a cryptographic key. The receiver checks the signature to confirm the message was not tampered with in transit.
  • DMARC ties SPF and DKIM together and tells providers what to do when a message fails. It also sends you reports so you can see who is sending mail under your name.

Set all three. A missing DMARC record is now enough to get bulk senders throttled or blocked outright. Start your DMARC policy on monitor mode, read the reports for a week or two, then tighten it once you confirm your legitimate mail passes.

Warm up new domains and IPs

A brand new sending domain has no reputation. If you blast ten thousand emails on day one, providers read that as a spam pattern and slam the door.

Warming up means starting small and scaling volume gradually. Send to your most engaged contacts first. People who open and reply teach the filters that your mail is wanted. Increase volume over days and weeks, not hours. The same logic applies to a dedicated IP address. Reputation is earned slowly and lost fast.

If you send cold outreach, keep it on a separate domain from your main brand. One burned domain should never take down your primary one.

Clean your list and respect engagement

Providers watch how recipients treat your mail. High bounces, low opens, and spam complaints all drag your reputation down. A dirty list poisons deliverability for everyone on it, including the people who actually want to hear from you.

Verify email addresses before you send. Remove hard bounces immediately. Prune subscribers who have not opened anything in months. It feels wrong to shrink your list, but a smaller engaged list beats a bloated dead one every time. Filters reward senders whose audience actually interacts.

Sunset policies help here. Set a rule that stops mailing anyone with zero opens over a fixed window, then try a single win back message before you drop them.

Write content filters trust

Spam filters read your content too. Certain patterns raise flags even from a clean domain.

  • Avoid spammy trigger words and all caps subject lines. Screaming about free money reads exactly like spam because it is what spam does.
  • Keep a healthy text to image ratio. An email that is one giant image with no text is a classic spam signal.
  • Do not hide links behind shorteners or mismatched anchor text. Filters flag links that do not go where they claim.
  • Include a plain text version alongside your HTML. Some clients read it, and its absence looks suspicious.

Write like a person emailing a person. That instinct alone clears most content filters. If you want a deeper framework for the copy itself, see our guide on email sequences that convert.

Make unsubscribing easy

This sounds backward, but a visible unsubscribe link protects your deliverability. When people cannot find the exit, they hit the spam button instead. A spam complaint hurts you far more than an unsubscribe ever will.

Add a clear unsubscribe link in every message. Support one click unsubscribe headers so mailbox providers can process the request instantly. Honor requests fast. Every complaint you avoid is reputation you keep.

Monitor before problems compound

Deliverability is not set and forget. Reputation shifts as your sending habits and list quality change. You want to catch a decline while it is small.

Watch your bounce rate, spam complaint rate, and open trends. Read your DMARC reports. Check whether your domain or IP shows up on major blocklists. Send seed tests to real inboxes across Gmail, Outlook, and others to confirm where your mail actually lands. If a metric slips, pull back volume and investigate before it snowballs into a full block.

Treat these numbers the way you would treat any conversion metric. For more on connecting email to real outcomes, see how we approach marketing analytics setup.

Getting started

Start with the foundation. Set up SPF, DKIM, and DMARC this week. Then clean your list and warm any new sending domain slowly. Those three moves fix most deliverability problems before they start.
